BWS #2 – How we helped our client organize and automate her business

In today’s issues, I’m going to share how I have worked with one client for almost 2 years and the problems we have solved in her business.

In the 22 months I have worked with this client, we have tried to organize and automate as much as possible. What I will show you can now be done for you in a range of 2-4 weeks, depending on what you need to implement.

However, most people think they can do these changes themselves and get stuck in the process and end up returning to their old ways.

The Problem

Like any business owner, you get to a point where you can’t keep up or do every project that comes your way, especially behind-the-scenes tasks and all of your client work. You find yourself stuck between a rock and a hard place. Do I work on my business, or do I work in my business? There is a difference.

A connection was made on LinkedIn, and then the conversation started on how I could help support her business. What started as small has quickly grown into something big and areas I enjoy helping other business owners out with.

The Solution/Results

There has been a lot of work that has happened over our working relationship, but the most significant projects have been:

Email management: A total of 3 different emails have been organized. Totaling over 100k in emails between all of them. The process began like any other email, archive, unsubscribe, delete, and create folders and filters. Currently, a daily check is what we do.

Calendar organization: Meetings can easily be missed by anyone if they are not on your calendar. We were able to work together to come up with a solution on when a meeting invite would come in; I could add that meeting to the calendar. Then as time went on, this is something that could be taken back over.

CRM via Dubsado: There was not a CRM in place when we started working together. Contracts and emails to potential interpreters or translators would be manual. Now, Dubsado is completely automated with several workflows. When a new client, interpreter, or translator starts working with the business, they can be sent through the onboarding process with no manual emails.

Financial dashboard build: Quickbooks was already a part of the business, which is excellent, but only some understand those numbers when they look at them. A financial dashboard was built so that at any given month, with a quick look, you can see revenue, expenses, and net income. Also, the percentage of sales and profit margins were calculated, so again, at any given month, this can be viewed.

Project management system via Asana: Recently, a PM system has been implemented with Asana. As the team grows, tasks and projects that get outsourced can be managed using this resource.

Automation via Zapier: Automation has been used in the past; a connection between Dubsado and slack was made once a new employee filled out a Dubsado form.

Tech questions: A shared G-drive account is shared amongst us, and when we work on a file, we can quickly change or update the document accordingly. Tech problems come up during the day. When those times come up, who do you contact? I would be contacted to give support for tech issues so work could keep going. It can be from how to send a document or which computer I should buy.
